Customer Maintenance Checks

You are responsible for the safety of your gym. This information is a guide only.

Daily equipment maintenance records should be kept by site staff and supplied to Gym Fit engineers on arrival for inspection. Failure to maintain suitable records may affect warranty, insurance and liability positions.

At Gym Fit, we believe that keeping equipment clean and regularly checking for signs of wear and tear can prolong equipment life and reduce maintenance costs. It is good practice to check equipment daily and have it professionally serviced at least twice a year.

This guide should be used alongside the user manuals supplied by the relevant manufacturer. If you are unsure, contact our service team at [email protected].

Reporting a Fault

To help us respond effectively, please try to provide the following information when reporting a fault:

  • Club, organisation or site name
  • Site address and contact details
  • Equipment serial number
  • Machine type, such as treadmill, cross trainer or strength machine
  • Model number
  • Full description of the fault, including photos where possible

Faults should be reported clearly so our service team can evaluate the issue, track the repair, reduce unnecessary diagnostic visits and help engineers attend with the correct parts where possible.

Treadmill Maintenance Checklist

Daily

  • Check operation, including safety key.
  • Secure loose screws, nuts and bolts.
  • If unsafe, unplug and place out of service.
  • Wipe display, grips, handrails and landing strips with a damp lint-free cloth.
  • Do not use alcohol, ammonia or harsh chemicals.

Monthly

  • Inspect power cord for damage.
  • Check handles, pedestals and fixings are secure.
  • Check running belt tension and alignment.
  • Do not overtighten the running belt.

Quarterly / Biannual

  • Inspect walk belt and deck for wear.
  • If qualified, lubricate the walk deck with suitable silicone oil every 6–8 months, subject to manufacturer guidance.

Cardio Equipment Maintenance Checklist

Daily

  • Check the product for proper operation and user safety.
  • Check pedal straps, pedals, cranks and user contact points.
  • If unsafe, unplug and place out of service.
  • Clean console, grips, handrails and covers with a damp lint-free cloth.

Monthly

  • Inspect power cord where applicable.
  • Check grips and moving parts for damage.
  • Check screws, nuts and bolts are tight.
  • Check pedals, seats and seat back operation.

Safety Caution

Use standard safety procedures when accessing electrical parts. Where equipment has a power cord, turn off power and allow capacitors to discharge before removing covers. If unsure, contact a qualified engineer and leave equipment out of order.

Indoor Cycle Maintenance

Regular preventative maintenance is essential to keeping indoor bikes operating correctly. Wiping down bikes at the end of each class or day helps reduce corrosion caused by perspiration.

Wipe Down

  • Handlebars
  • Flywheel
  • Front and rear leg assemblies
  • Chain guard
  • Brake knob and bolt assembly
  • Pop pins and levelling feet

Inspect

  • Crank arms
  • Pedals and threads
  • Water bottle cage screws
  • Seat and handlebar posts
  • If unsure, place the bike out of order and request an engineer.

Strength Equipment Maintenance Checklist

Daily

  • Check selectors, weight plates and moving parts.
  • Secure loose screws.
  • Place unsafe equipment out of service.
  • Clean grips, cushions, selectors and covers.
  • Check cables for breaks, especially around cable ends.

Monthly

  • Inspect handles and attachments.
  • Tighten screws, nuts and bolts if necessary.
  • Apply suitable lubricant where required.
  • Wipe guide rods, cables, belts and rollers clean.
  • Inspect cushions for security.

Quarterly

  • Inspect belt and cable tracking.
  • Check cable tightness and adjustment.
  • Clean weight plates and moving parts carefully.
  • Refer to manufacturer manuals where necessary.

Policy Note on PAT Testing

If fitness equipment is maintained, serviced and checked at minimum six-month intervals by trained, competent and qualified engineers, Gym Fit’s position is that separate PAT testing of the same fitness equipment is not normally required purely as a matter of routine. Daily, weekly and monthly checks remain the responsibility of site personnel, as does the maintenance of the site infrastructure including electrical systems.

The Electricity at Work Regulations 1989 require electrical equipment that has the potential to cause injury to be maintained in a safe condition. The regulations do not specify a fixed inspection method or annual PAT testing requirement. Employers and operators should take a risk-based approach and follow appropriate HSE guidance.
